0818 MyCalyx Digital Key

PointCentral 8.0 utilizes a MyCalyx Digital Key to manage users and licenses. The MyCalyx Digital Key automatically refreshes every month and is synchronized between your MyCalyx.com account and PointCentral Administration site. 

However, if the PointCentral server is unable to communicate with MyCalyx.com due to internet access or restrictions, the MyCalyx Digital Key will not automatically update.  Please see the "Expired MyCalyx Digital Key" section at the bottom of this article for instructions to manually update the digital key when your PointCentral server does not have internet access.

When the MyCalyx Digital Key expires or you have exceeded your number of users versus licenses, you will have a grace period to correct the problem. If the grace period has ended and you have not corrected your number of users versus licenses or renewed the expired digital key, your PointCentral service will lapse and users will not be able to access PointCentral data.

When you log into the PointCentral Administration site, you will notice a new section that displays the following:

  • Total Licensed Users - Number of licenses purchased for Point or mobile access
  • Total Active Users - Number of users you have added for Point or mobile access
  • Users Remaining - Number of users remaining that you can add before exceeding the number of licenses you have purchased for Point or mobile access

You can only add as many users in your PointCentral Administration site as you have licensed users in MyCalyx.com. When the Users Remaining is 0 and you try to add a user on the PointCentral Administration site, an error will appear that you do not have enough licenses for Point or mobile access. Contact sales at 800-362-2599 to purchase additional licenses.


Exceeding user licenses when updating to PointCentral 8.0

When you update to PointCentral 8.0, it is possible that you may have more users configured in your PointCentral site than what you are actually licensed for in MyCalyx.com. If you have more users configured in PointCentral than what you are licensed for, the Users Remaining will appear in red and a message will be displayed for you to either remove the additional users from PointCentral or contact a sales representative to purchase additional licenses. After "x" amount of days, your service will be interrupted and users will not be able to access PointCentral data until the number of licensed users has been corrected.

When you have exceeded the amount of licensed users and you are going to remove users to correct the number of users you are actually licensed for, you don't necessarily have to delete the users.  If you navigate to Users > List Users, you can edit the users that you are going to remove and uncheck the "Point" checkbox.  This will remove the user from accessing Point until you purchase additional licenses.

*Note: If you purchase additional licenses and your PointCentral Administration site does not reflect the correct number of licensed users, you may need to manually refresh the Digital Key from your PointCentral Administration page.  Please see "Refresh MyCalyx Digital Key when you add or remove user licenses" below.


Refresh MyCalyx Digital Key when you add or remove user licenses

If you adjust your licenses, (i.e. purchase/remove additional user licenses), you may need to refresh the MyCalyx Digital Key for your PointCentral administration site to reflect the proper amount of licensed users. Although PointCentral will automatically check for an updated digital key every couple of days,please complete the following steps if you need to manually refresh the MyCalyx Digital Key for your PointCentral administration site to reflect the proper amount of licensed users.

  1. Log into your PointCentral Administration site.
  2. Navigate to Configuration > Parameters.
  3. Click the Refresh Digital Key button in the MyCalyx Digital Key section and then click Save.    This will communicate with MyCalyx.com for the PointCentral administration site to reflect the proper amount of licensed users.


Expired MyCalyx Digital Key

Your PointCentral service can also be interrupted if the PointCentral server is not able to obtain a MyCalyx Digital Key. PointCentral will automatically obtain the MyCalyx Digital Key and update every month. However, if the server is not able to communicate with MyCalyx.com due to internet access or restrictions, you will need to manually copy the MyCalyx Digital Key from MyCalyx.com to your PointCentral Administration page every 30 days.

If the PointCentral server is not able to obtain a MyCalyx Digital Key, the following message is displayed in red when you log into the PointCentral Administration website:

"The MyCalyx Digital key has not been updated within the last 30 days..."

To resolve the above error that the MyCalyx Digital Key has not been updated within the last 30 days... please complete the following steps:

  1. Click the MyCalyx Digital Key button.


  2. Copy the digital key and paste it into the PointCentral Administration site.


  3. Once you have copied the key from MyCalyx.com, log into your PointCentral Administration site. (Ex. https://mydomainserver.com/admin)
  4. Navigate to Configuration > Parameters and then paste the digital key into the MyCalyx Digital Key section.
  5. Click Save.
