0808 How to Download Online Loan Applications

Point version 8.0 introduces tighter integration with WebCaster. WebCaster gives you a personalized website for only $24.99 a month that puts your business online and enables online loan applications that you can download into Point by clicking the Online Loan Applications button. Requirements for downloading online applications are:
  • Point version 8.0 or higher must be installed.
  • You must have a WebCaster site purchased. Contact sales at 800-362-2599

How it Works?

When a borrower goes to your WebCaster website, they have the ability to enter an application. They can enter as much or as little information as they want. When they click Submit, their loan application will be pending for you to download.

When you click the Online Loan Applications button in Point, it will open a dialog that displays loan applications submitted from your website and allows you to import them into Point.

Not only can you download loan applications submitted from your website but you can also automatically update the borrower with a status of their loan. Point contains a secondary feature that will automatically email the borrower for them to login on your website and check the status of their loan or view any documents you may want to send to or retrieve from the borrower.

 


 

Configure your Webcaster Site and Point to download online loan applications

  1. Log into your WebCaster Administration site, https://webcaster.calyxsoftware.com
  2. Navigate to Content > Loan Center > Loan Applications > Primary Emails
  3. Note what the primary email address is. You will need to enter this into the WebCaster Preferences in step 12.



  4. Once you have verified what the primary email address is. Navigate to Content > Loan Center > Loan Applications > Delivery.
  5. Select the option to Download loan applications via the WebCaster Desktop. This option must be selected so that when an application is submitted from your website, you can download it from within Point rather than receiving an email with the attachment.


  6. Once the WebCaster Desktop has been selected for loan application delivery, scroll down and click Save.
  7. Navigate to Content > Loan Center > Loan Applications > Routing.
  8. From the Selecting a Loan Officer section, select one of the following depending on how you want to download online loan applications:

    • Borrowers do not select a loan officer: Any application submitted from your website will import when you download online loan applications. The primary email address from step 2 is used for setup and entered into the Loan Application login section in step 12.
    • Borrowers select a loan officer from a list: Only selected when you want the loan officer to only download applications that were submitted directly to them. When an application is submitted from your website, the borrower can select a loan officer. When the loan officer downloads online loan applications from Point, rather than Point downloading any application that was submitted, it will only download the applications for which the borrower selected the loan officer's name. (Additional Setup is required. Complete the rest of the steps and then see the Additional Information section at the bottom of this article)



  9. Once you have selected the delivery of applications , scroll down to the Routing Applications section and then select one of the following options for loan application delivery:

    • Primary email addresses: Any application submitted from your website will import when you download online loan applications. The primary email address from step 2 is used for setup and entered into the Loan Application login section in step 12.
    • Loan officer email address only: Only select when you want the loan officer to only download applications that were submitted directly to them. (Additional Setup is required, complete the rest of the steps and then see the Additional Information section at the bottom of this article)
    • Both Primary email address and specified loan officer: This can be selected if you want the loan application to be delivered to both the primary email in step 2 and the loan officer. When you configure the WebCaster preferences in step 12, you can use either the primary email from step 2 or the loan officer email login in the Loan Application Login section.



  10. Scroll down and click Save when finished.
  11. Now that you have configured your WebCaster website to download online loan applications, you now need to configure Point to download online loan applications.
  12. Open Point.
  13. From the menu bar, select Utilities > WebCaster Preferences.
  14. Enter the WebCaster administrator login, loan application login, and loan status update password. (Please see below for an explanation)



    • WebCaster Administration Login Information:
      (Used to send/receive documents to and from the borrower as well as loan status updates. You may need to contact your administrator for the login information)
      • The Administrator email and website # will be the same login information as it is when you login at https://webcaster.calyxsoftware.com.
      • The Web Site Address is the URL of your website, for example http://mycompany.web-loans.com.

    • Loan Application Login:
      (Used to download online loan applications)
      • The Loan Application e-mail and password are the same login as the primary email address that is configured in your WebCaster Administration website. This is usually the same login as the login above but you may need to contact your administrator if you are not sure what the login is.
      • You can also configure the online loan application to download per loan officer, which the email and password will be the loan officer's login. If you are choosing this type of setup, please review the Additional Information section at the bottom of this article.

    • Loan Status Update/Document Send/Receive:
      (Used to send/receive documents to and from the borrower as well as loan status updates)
      • The Loan Status password is configured by logging into your WebCaster Administration site. If you or the administrator needs assistance on how to set the password, please click here.

    • All other sections are options features:
      • Select whether you want the downloaded online loan applications to be created as borrower or prospect files.
      • Select whether you want each downloaded application to be saved as a WebCaster generated file number (borrower's name and date) or as an auto file naming generated file number.
      • Select whether you want Point to notify you when a loan application has been submitted and how often you Point to check for a new application.

  15. Once you have entered your WebCaster Preferences, you are ready to download loan applications, update the borrower with loan status updates, and send/retrieve documents to and from the borrower, all through Point and your website.

 


 

How to Download Online Loan Applications

Once you have configured Point with the WebCaster Preferences, you can now download loan applications that were submitted from your website.

  1. Open Point.
  2. Click the Online Loan Applications button from the left navigation panel.

    If you click the Online Loan Applications button before you filled in the preferences, then it will prompt you for the login information, which should be the same login that you use to log into your WebCaster Administration site, https://webcaster.calyxsoftware.com.

    If you filled in the WebCaster preferences before clicking the Online Loan Applications button, then it will connect to your website and return any applications that were submitted online.



  3. When an online loan application is available for download, the Online Loan Applications window will appear.



  4. Check the applications that you want to import.
  5. Select your Naming Options - When an application is imported, Point's Auto File Naming will save the file as all numbers while WebCaster Auto File Naming will save the file as the borrower's name and date.
  6. Select the File Type - whether you want to import the application as a prospect or borrower file.
  7. Click Import and it will import the loan application as well as show you a dialog box of what files were copied. At this point, you can close the import window and perform a search for your downloaded application from the Loan Search Results screen. You may want to search by the borrower's first or last name.


How to send Loan Status Updates to the borrower from your website?

Although you can download loan applications that were submitted to your website, you can take this a step further and automatically update the borrower with a status of their loan. Point will send an email to the borrower for them to check your website for their loan status. Click here for using the Loan Status Update feature.

How to send/retrieve documents to and from the borrower?

Not only can you download applications from your website and automatically update the borrower with a loan status; you can also send or retrieve documents to and from the borrower via your website and Point.

You can use the send/retrieve feature to send documents to your website. An email will be sent to the borrower for them to check the website and view their documents. Additionally, you can also request documents from the borrower. The borrower can upload a signed document or other document onto your website and Point will download the documents when you click the send/retrieve button from the document storage facility. Additional Information regarding Downloading online applications per loan officer

You only need to use this additional information section if you want the loan officer to only be able to import loan applications that were submitted directly to them. If you do not want to download applications per loan officer but you want to download any application that was submitted on your website, please refer to the "Configure your Webcaster Site and Point to download online loan applications" section at the top of this article and select "Borrowers do not select a loan officer" in step 7 and "Primary email addresses" in step 8.

When you download online loan applications, it will typically look for any application that was submitted from your website and download it. However, optionally you can configure the loan application download to only download applications that were submitted to a specific loan officer.

For example: If a borrower submits a loan application from your website and they selected John Homeowner as the Loan Officer, when John logs into Point and downloads online loan applications, it will only download the applications that the borrower submitted directly to him rather than downloading any loan application that was submitted from your website.

If you want to setup the online loan application download to download applications per loan officer, please complete the following steps:

  1. Log into your WebCaster Administration Site, https://webcaster.calyxsoftware.com
  2. Navigate to Loan Center > About Us> Loan Officers > Description.

    You will need to add each loan officer that you want to be available for the borrower to select when they submit an application from your website.
  3. Click Add to add each loan officer.


  4. From the Loan Officer Contact screen, enter their First and Last name, and any other optional contact information and then click Update at the bottom.


  5. From the Loan Officer Creation page, you can upload a photo and enter a description by clicking Edit under the appropriate column. But for the purpose of downloading online loan applications, you will need to click Edit under the Application Routing column.
  6. From the Application Routing page - in the WebCaster Desktop Login section, enter the loan officer's email address as well as a password and then click Save.

    Remember that this email address and password will be entered into the WebCaster Preferences for the Loan Application login in step 15.


  7. Once you setup the loan officer, navigate to Content > Loan Center > Loan Applications > Delivery.
  8. Select the option to Download loan applications via the WebCaster Desktop. This option must be selected so that when an application is submitted from your website, you can download it from within Point rather than receiving an email with the attachment.


  9. Once the WebCaster Desktop has been selected for loan application delivery, navigate to Content > Loan Center > Loan Applications > Routing.
  10. From the Selecting a Loan Officer section, select Borrowers select a loan officer from a list. This will let the borrower select which loan officer they want to submit their application to. When the loan officer downloads an application, Point will only import applications that the borrower submitted directly to them.
  11. Once you have configured the loan officer section for loan application routing, scroll to the Routing Applications section.
  12. Select Loan Officer Email address only or Both Primary email address and specified loan officer.

  13. Now that you have configured your WebCaster website to download online loan applications per loan officer, you are ready to use Point to import online loan applications.
  14. Open Point and then from the menu bar, select Utilities > WebCaster Preferences.
  15. Enter the WebCaster administrator login, loan application login, and loan status update password. (Please see below for an explanation)



    • WebCaster Administration Login Information:
      (Used to send/receive documents to and from the borrower as well as loan status updates. You may need to contact your administrator for the login information)
      • The Administrator email and website # will be the same login information as it is when you login at https://webcaster.calyxsoftware.com.
      • The Web Site Address is the URL of your website, for example http://mycompany.web-loans.com.

    • Loan Application Login:
      (Used to download online loan applications)

  16. Once you have entered your WebCaster Preferences, you are ready to download loan applications, update the borrower with loan status updates, and send/retrieve documents to and from the borrower, all through Point and your website.
  17. From the Loan Search screen in Point, click the Online Loan Applications button from the left navigation panel.

    If you click the button before you filled in the preferences, then it will prompt you for the login information, which will be your website address and the email and password that you created in step 6. If you filled in the WebCaster preferences before clicking the Online Loan Applications button, then it will connect to your website and return any applications that were submitted online.



  18. When an online loan application is available for download, the Online Loan Applications window will appear. Since you are setting this up per loan officer, the only applications that will appear are those that the borrower specifically chose the loan officer's name on the application.



  19. Check the applications that you want to import.
  20. Select your Naming Options - Point Auto File Naming will save the file as all numbers while WebCaster Auto File Naming will save the file as the borrowers name and date when the application is imported.
  21. Select the File Type - whether you want to import the application as a prospect or borrower file.
  22. Click Import and it will import the loan application as well as show you a dialog box of what files were copied. At this point, you can close the import window and perform a search for your downloaded application from the Loan Search Results screen. You may want to search by the borrower's first or last name.
